A day in life of a Virtual PA supporting multiple clients

Helen’s story

8.00 AM – Admin and planning

My work day starts at 8:00 AM. The first task is to review my schedule and prioritise tasks for the day. Supporting multiple clients means I need to be highly organised and proactive. I check my emails and messages for any overnight updates and urgent tasks that need immediate attention.

8:45 AM - Client 1

I usually start my day with the same client, a tech entrepreneur based in London. We have a daily briefing call where we discuss the priorities for the day, including meetings, travel plans, and any urgent issues. I manage their calendar, ensuring all appointments are confirmed and there are no scheduling conflicts. Once the call is over, I move on to organising their inbox, responding to emails, and delegating tasks to other team members if needed.

10:00 AM – Client 2

Next, I switch gears to my second client, a UHNWI in the fashion industry. This involves coordinating a major project, a product launch event. I liaise with event planners, suppliers, and marketing teams to ensure everything is on track. Today, I also need to prepare a presentation for a meeting they have later in the week. Multitasking is crucial in PA jobs in London, especially when managing the demands of high-profile clients.

12:00 PM – Lunch break

I take a short lunch break around noon, using this time to recharge and briefly step away from my screen. During lunch, I often go for a walk across the fields. It’s a plus of working from home. I’m supporting busy London clients while enjoying the peace and quiet of a rural lifestyle.

1:00 PM – Client 3

My afternoon begins with tasks for my third client, a finance executive. This involves managing their personal finances, including paying bills, tracking expenses, and ensuring all financial records are up to date. I also coordinate with their financial advisor to review investment portfolios and discuss any necessary adjustments. Precision and confidentiality are vital here.

3:00 PM - Client 4

Around 3:00 PM, I shift my focus to travel arrangements for my fourth client who is a global construction lead. Planning travel involves booking flights, arranging accommodation, and ensuring all travel documents are in order. Today, I'm arranging a trip to New York and another one to Dubai. I also make a start on a portfolio piece they’ve asked me to compile.

5:00 PM – Wrapping up the day

As the day winds down, I review the tasks completed and update my clients on progress. I prepare a to-do list for the following day, ensuring all priority tasks are noted. This includes scheduling any necessary meetings and setting reminders for important deadlines.
