What are 5 Common Mistakes Employers Make in Office Support Recruitment?

Posted on Thursday, September 24, 2026

Finding the right office support staff can make a huge difference to how smoothly your organisation runs. But common mistakes in office support recruitment - from writing vague job descriptions to focusing too heavily on CVs - can lead to poor hires, wasted time and unnecessary recruitment costs. So, what should you avoid?

1. Are you being too vague about what the role involves?

If your job description simply lists generic duties, you risk attracting candidates who look suitable on paper but don't have the skills your team actually needs.

Before advertising, be clear about:

  • The day-to-day responsibilities
  • The software and systems the candidate will use
  • The hours and working arrangements
  • The level of experience genuinely required
  • The personal qualities that matter in your workplace

Think about what success looks like after three or six months. That can help you distinguish essential requirements from desirable ones.

2. Are you focusing too much on experience and qualifications?

A candidate doesn't necessarily need years of experience to be excellent at admin support staff work.

Organisation, communication, attention to detail, adaptability and a willingness to learn can be just as important. For some roles, you may find a candidate with slightly less experience, but the right attitude becomes a much stronger long-term hire.

Ask yourself: Which skills can be taught, and which qualities are harder to develop?

A good recruitment process should assess both.

3. Are you making the recruitment process too slow?

Good candidates don't stay available indefinitely.

If you have several interview stages, long gaps between decisions or delays getting approval for an offer, you could lose candidates to another employer.

This is particularly important when recruiting for temporary or high-volume requirements. We recently supported a UK-wide visa services provider that needed 90 temporary workers across 13 locations. By managing sourcing, screening and compliance centrally, the recruitment process achieved a 100% fill rate, with many workers staying for 12 months or more.

A simple rule: agree your recruitment process and decision-makers before you start interviewing.

4. Are you underestimating cultural fit?

Technical skills are only part of the picture.

Office support staff interact with colleagues, customers, suppliers and senior managers every day. Someone can have an impressive CV but still struggle if their communication style or approach doesn't fit your working environment.

During interviews, ask practical, open questions such as:

  • “Tell me about a time you had several urgent tasks at once.”
  • “Give an example of when you dealt with a difficult colleague and think you could have done things differently.”
  • “What type of working environment brings out your best?”

This gives you a much better insight into how someone is likely to perform than simply working through their CV.

5. Are you trying to manage everything yourself?

Recruiting office support staff can look straightforward, but finding the right person takes time – particularly if you need someone quickly.

A specialist office support recruitment agency can help you define the brief, identify suitable candidates, carry out initial screening and manage the process. This can be particularly useful when you need specialist business support recruitment, multiple temporary workers or candidates in different UK locations.

How can you avoid these recruitment mistakes?

Before starting your next recruitment campaign, ask yourself:

  • Is the job description specific about the actual role?
  • Have we identified the skills and qualities that really matter?
  • Can we make decisions quickly?
  • Are we assessing personality and working style as well as experience?
  • Do we have the time and expertise to manage recruitment effectively?

If the answer to several of these is “not yet”, it may be worth getting specialist support.
