A virtual assistant’s core tasks

Admin tasks

Admin is the most obvious thing that VAs can do. Like a typical PA, they can look after:

  • Diary management: Scheduling meetings (both in-person and virtual) and making appointments.
  • Typing and data entry: Writing up letters and reports and inputting data.
  • Customer service and phone calls: Answering the phone and directing calls, undertaking first-line customer service.
  • Travel arrangements: Make whatever travel arrangements you need and ensuring they’re Covid-safe.
  • Organisation: Organising your systems, to-do list, and email inbox.

With the right technological tools, a VA will be able to undertake many of the same administrative tasks as an in-office PA.

Communications

We briefly mentioned inbox management in admin tasks, but really, it’s a task all by itself. Managing an overflowing inbox, responding, deleting, and prioritising messages as appropriate can be a full-time job in itself. A competent VA can ensure that your email communications are more efficient, meaning you can focus attention where it really needs to go.

Content and social media management

Social media management is an enormous time drain. A VA can take on all of its administrative elements, from scheduling posts to responding to comments. In some cases, they’re also able to write basic content for social media and your blog; they can also source and edit images.

Bookkeeping and basic accounts

Some VAs are competent with basic financial tasks. All should be happy to manage your expenses, but some will also be able to input and manage invoices, chase payments, and make purchases.

Research

From understanding your competitors to figuring out how to do a particular new report, research can take up inordinate amounts of your time. VAs are research pros. They can gather the information you need and present it to you in a succinct way.

Personal tasks

If requested, a VA can free up extra work time for you by taking over some of your personal tasks. From booking trips to buying Christmas presents, they can sort it.

Ad hoc projects
