Job Description

Accounts Assistant - Luxury Retail - Hybrid

This wonderful role will be based in Piccadilly, with an option for hybrid working. The role is paying £12.00 per hour depending on your experience.  You will assist the International Wholesale Team of a globally known upmarket department store.

Key Accountabilities:


  • Produce order confirmations
  • Generate and maintain all necessary shipping documentation in a timely manner to ensure on-time despatch of all orders
  • Supply shipping certificates under the supervision of the International Account Manager
  • Produce and send accurate commercial and sales invoices to all customers
  • Liaise with finance regarding overdue payments under the supervision of the International Account Manager
  • Set up new products on our internal system
  • Produce purchase orders and credit notes
  • Raise no charge and sample orders, despatch and track samples and business materials.
  • Maintain accurate customer information on our client's internal system
  • Keep up-to-date customer contact information
  • Log all customer product claims, producing a report at the end of each month to be shared with our client's warehouse

Sales Support

  • Submission of Customer Account set-up forms
  • Create and order labels for international customers and monitor the label process to order completion:
    • Collect samples/artwork and take measurements for label preparation
    • Check inventory of labels in the warehouse
    • Order translations
  • Place customer orders
  • Upload customer price lists
  • Support the Account Managers in completing customer product forms and supplying product photography and copy.
  • Assist with the production of product packs



Updating team documents (e.g., despatch tracker) with order information, daily updates from warehouse e.g. order status, specific notable comments, paperwork reference etc., making sure all orders are invoiced on despatch.

  • Excellent Microsoft office skills
  • Excellent communication skills
  • Be really resilient and be able to manage up
  • Excellent diary management able to ensure Managers attend meetings on time
  • Robust experience of the CRM systems and processes and reporting mechanisms to enable a function that is growing and maturing at speed
  • Digitally savvy
  • An ability to challenge, build credibility with a wide range of audiences and work with integrity/confidentiality at all times
