Temp to Perm Team Assistant & Receptionist
Up to £28k plus discretionary bonus and benefits
09:00 - 18:00

We are recruiting for a really great role within an employee-centric, multi-cultural, and well-established Investment Firm based in the West End. The role involves a lot of international diary and travel management and you will also be covering reception. This is a lovely, calm, and fairly relaxed but professional office environment. You will be an experienced Team Assistant and must have experience in international diary and travel arrangements.

Responsibilities will include:

  • Providing a full range of reception duties
  • Telephone - taking and relaying messages, screening and directing calls
  • Maintaining the reception and kitchen area
  • Meeting and greeting visitors
  • Being responsible for the meeting rooms and preparation of refreshments for meetings
  • Administrative / Office Support: organisation of conf calls/video calls, booking travels, hotels, and transport
  • Preparing documents, photocopying, scanning, and filing
  • Dealing with external providers, IT, travel agency, and couriers
  • Ordering stationary, kitchen, and other office supplies
  • Ordering couriers and other support services
  • Maintaining and making sure areas are kept tidy/supplied: filing, binding area, post room, stationary cupboards, kitchen, fridge, and photocopier
  • General administrative support and other ad hoc duties that may arise

Candidate specification:

  • Proven experience of working in a team assistant/senior administration and reception role
  • Proficient in MS Office, especially Word and Excel
  • Excellent in the use of MS Outlook
  • Excellent attention to detail
  • Strong command of English with excellent telephone manner
  • Strong interpersonal skills, friendly, and approachable
  • Ability to prioritise work
  • Ability to work well under pressure in a fast-paced environment
  • Remain unflappable at ever-changing travel and diary plans
