Team Assistant
Temp to Perm
Up to £25,000 depending on experience
West End

This role will predominately support the EA team plus other managers/directors as required through proactive personal administrative support. This is a fun, vibrant, and creative environment but a role that requires someone who is always one step ahead, has a 'proactive and hands on approach', and wants to develop. Responsibilities often involve confidential company information and therefore requires this individual to be responsible and credible in performing duties and undertaking responsibilities. The role will also encompass office management duties as well. These duties will ensure the smooth-running of the office space and a sound environment.

Specific area of responsibility

  • Assist and deputise for EAs as required
  • Full management of signatures for Execs
  • Work flexibly to meet the varying requirements of the team
  • Manage and organise associated travel and accommodation requirements for executives, adhering to Travel Policy
  • Minute-taking at senior management meetings where required
  • Process expenses in accordance with Company Policy
  • Sort, screen, and prioritise incoming mail for executives (post and fax), drafting responses to correspondence where appropriate and escalating key actions
  • Proactively build and develop internal and external networks of contacts and build knowledge of key business matters in order to effectively identify and screen priorities
  • Produce client correspondence, documents, presentations, and proposals to Williams Lea standards and brand
  • Maintaining filing systems and subsequent storage of information
  • Dealing with confidential information
  • Updating organisation charts and contact lists as required
  • Acting as support for overseas / external visitors
  • Other ad hoc duties

Person Specification

  • Excellent interpersonal skills with ability to build good team relationships
  • Confident and credible communicator
  • Enthusiastic team player
  • Proficient user of Word/PowerPoint/Excel/Lotus Notes
  • Minimum typing speed - 60 words per minute
  • Able to demonstrate problem solving situations
  • High degree of accuracy and attention to detail in dealing with all tasks including confidential information
  • Ability to adapt, prioritise, and multitask in an entrepreneurial environment
  • Good working knowledge of office equipment i.e. faxes, printers, binders, shredders
  • Ability to effectively influence senior management
