Reception Administrator

We are recruiting for a Reception Administrator to join a truly employee-centric, family feel, friendly and fun Marketing & Communications organisation. As the face of the organisation, you will be responsible for dealing with all calls and visitors in a professional, friendly and efficient manner. The role also involves all the usual reception-type duties, supporting the Office Manager and also helping the rest of the agency with ad hoc projects.

The role includes the normal reception duties of taking control of the reception area and making sure it is kept tidy, answering calls, taking and relaying messages professionally and accurately, controlling meeting room bookings, and prepping the meeting rooms as well as the following:

  • Filing invoices
  • Distributing the post and franking the outgoing post in the evenings
  • Updating the holiday & sickness spreadsheets
  • Binding documents
  • Keeping the office tidy as required
  • Arranging couriers and travel
  • Updating the phone list and mobile list
  • Keeping the staff list updated with addresses and phone numbers
  • Ordering stationary and office supplies
  • Ordering lunch/breakfast ahead of client meetings
  • Reminding the relevant pod of someone's birthday
  • Reminding staff of upcoming appraisals
  • Checking through the Production Director's credit card statements, collating receipts, and tracking these on a spreadsheet
  • Organising venues for photo/video shoots
