Job Description

My client are a non-for-profit educational organisation who are looking for an experienced PART-TIME PERSONAL ASSISTANT to join their Administration Team.

This role is 23 hours per week, and 2 days per week MUST be based one day on campus in NORTH LONDON and one day in WEST LONDON.

Duties Include: 

  • Proactively managing internal and external communication for the SLT. Ensuring high quality service, the strictest confidentiality and security of information, as well as promoting and maintaining effective channels of communication across all levels within the organisation.
  • Liaising and building effective relationships with parents, governors, trustees, staff, local authorities, VIP visitors to the college, other departments and services of Ambitious about Autism, and any other stakeholders.
  • Actively manage the running of the Head of College's office. Including: diary management, preparation of documents and letters, post filing, administrative support, document management, personal expenses etc.
  • Undertaking specific projects and tasks as directed by the Head of College. Including: the curation or assistance of production reports and analysis where necessary.
  • Overseeing the administration of the annual review process, ensuring local authority statutory deadlines are met and in coordination of review meetings.
  • Ensuring effective filing and information logging systems are followed, streamlining, and improved where necessary.
  • Ensuring the smooth running of the finance administration and processes are in-line with the organisational policy and ensuring all finance deadlines are met.
  • Maintaining and updating accurate records on various databases within the organisations.
  • Working collaboratively with other Executive Assistants and departments across the organisation to meet the strategic needs of projects.
  • Line managing the campus Administrators while ensuring systems and processes are in place to maximise the smooth running of administration duties.
