An experienced Personal Assistant of the highest calibre is required to join the head office of a vibrant family business in central London. As part of a small team, you will be supporting the young Executive Chairman of a growing global industrial business. You will have a wealth of experience as a professional administrator and experience of working with Senior Executives.

The Executive Chairman is looking for someone passionate and keen to build a great working relationship with him, ensuring he is always optimally positioned to lead and support his team. This will also require an intuitive approach to organising some elements of his social and personal life.

This is a high-performing, refreshing, and diverse office, with much to offer the right candidate. Being a small office, they are looking for someone who can add value and a positive dynamic to the team. You will work closely with the Executive Assistant to support the planning, organisation, and management of meetings, events, and general office maintenance. You may occasionally be required to travel within the UK, to South Africa and other destinations.

Responsibilities

  • Overseeing, prioritising and, as required, action correspondence on behalf of the Executive Chairman (email, post)
  • Screening phone calls, enquiries, and requests, and handling them where appropriate
  • Meeting and greeting visitors at all levels of seniority
  • Drafting letters and emails for and on behalf of the Executive Chairman as and when necessary, ensuring language is clear and grammatically correct
  • Clear and concise organisation of electronic documents
  • Updating and maintaining the Executive Chairman's Outlook calendar; inputting clear and detailed meeting entries (including location, time zones, attendees, transport arrangements etc.)
  • Planning and management of both business and some personal meetings and events for the Executive Chairman
  • Arranging extensive travel for the Executive Chairman, both business and personal when required
  • Creating and updating detailed travel itineraries for business and personal trips
  • Anticipating and managing all travel-related documentation and necessities: passports, visa, and currency requirements
  • Close liaison with members of the family as it's a family business
  • Organise and prepare the Executive Chairman for meetings e.g. ensuring he has the relevant details, documentation, and information required
  • Responsibility for regular banking arrangements for the Executive Chairman and collation of necessary documents for his tax returns etc.
  • Completing monthly expenses and expenditure analysis for the Executive Chairman
  • Providing support and assistance to his family when required e.g. occasional travel arrangements, staff payments and organisation, household bills, and social event co-ordination
  • Undertaking additional ad hoc duties and supporting the Executive Assistant with general office administration where required
