We are recruiting for an experienced Senior Office Coordinator or Office Manager to join a boutique property firm in Marylebone. The role is varied and requires someone with excellent attention to detail due to the use of SAGE and QUBE. You will be friendly and organised, have great interpersonal skills, and be happy to get involved in all aspects of the business.
Responsibilities will include:
Use of SAGE & QUBE:
- Entry of office contractor and supplier invoices
- Entry of fee accounts submitted
- Entry of VAT Receipts
- Reviewing weekly bank statements and entering fees paid on SAGE
- Entry of management contractor invoices
- Entry of client contact details
- Entry of lease events
- Commercial/residential property management support (dealing with calls; appointing contractors)
- Commercial agency support (circulating information)
- Managing the boardroom diary
- Managing centralised calendar (alerting appropriate staff to up-coming lease events)
- Filing and managing archives
- Managing petty cash and paying in cheques and reviewing bank statements
- Management of sick leave/annual leave
- Chasing outstanding fee accounts
- Ordering and management of office stationary and kitchen supplies
- Managing office equipment
- Managing company inbox
- Taking/screening phone calls and meeting/greeting clients and visitors
- Arranging travel as and when required
- Arranging social events for the firm
